Making the Conference Experience Easier, Smarter, and More Human

The Challenge
The old app left attendees frustrated
Problems included:
Hard to find sessions that mattered to them
Networking is hidden and clunky
Confusing navigation
No search bar
Sponsors felt invisible and undervalued
The old app felt like a digital brochure rather than a tool to enhance the conference experience.
Listening to People
Talked to 22 past attendees (vets, researchers, industry pros)
Studied 8 other conference apps for inspiration
Mapped out attendee journeys to see where they struggled
Held workshops with WVPA leaders to align goals.
What people really wanted:
- Filters to quickly find relevant sessions
- Easier ways to connect with peers
- Clear, simple scheduling tools
- Sponsors with real presence and value
Our Design Journey
- Focused on human-centred design
- Built and tested 7 versions of the app
- Took user ratings from 7/10 → 10/10
- Made sure the app was accessible for all (WCAG 2.1)
- Worked hand-in-hand with WVPA every two weeks
The New Experience
1. Simple Navigation – 5 clear tabs at the bottom
2. Search & Filters – Find sessions by topic, time, or speciality
3. Networking Made Easy – See who’s attending and connect instantly
4. Sponsor Spotlight – Profiles, resources, and booth scheduling
5. Helpful Notifications – Friendly reminders about your sessions

What Made the Difference
- Putting “Schedule” in the centre (since most people came for sessions)
- Adding the word “Filter” next to the icon → filter use jumped by 63%
- Giving sponsors real profiles with content and booth meetings
- Turning notifications into useful nudges (“Your session starts in 15 minutes!”)
Real Impact Attendees loved it
- 87% downloaded the app (vs. 62% last time)
- 4.7⭐ rating
- 3.2x more daily active users
Behavior changed
- Bookmarking sessions ↑ 210%
- Networking connections ↑ 175%
- Sponsor engagement ↑ 300%
